1. Introduction

This Privacy Policy explains how Agrovia, operated by Jagdeep Singh Dhillon (“we”, “us”, “our”), collects, uses, stores, and protects your personal information when you use the Agrovia mobile application (“App”, “Service”).

We are committed to protecting your privacy in accordance with British Columbia's Personal Information Protection Act(PIPA) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

By using the App, you consent to the practices described in this Privacy Policy.

2. Who This Policy Applies To

This policy applies to all users of the Agrovia App, including farm owners, managers, and any authorized individuals (age 16 or older) who create an account and use the Service.

3. Information We Collect

3.1 Account Information

When you register, we collect:

  • Your name
  • Your email address
  • Your physical address
  • Your password (stored in hashed/encrypted form; we never store plaintext passwords)

3.2 Farm and Operational Data

Data you enter while using the App, including:

  • Harvest records (crop type, dates, quantities, units)
  • Picking session logs (session details, bucket/unit entries, timestamps)
  • Picker profiles (names and any other details you choose to enter)

3.3 Payout Data

Financial records you create within the App, including:

  • Payout entries associated with individual pickers
  • Rates, totals, and any notes attached to payout records

3.4 Generated Documents

PDF payout reports generated through the App are stored on cloud servers operated by Amazon Web Services (AWS).

3.5 Technical Data

We may automatically collect limited technical information to operate and improve the Service, including:

  • Device type and operating system version
  • App version
  • Error logs and crash reports

We do not collect precise GPS location data.

3.6 Device Permissions

Camera and Photo Library.The App requests access to your device's camera and photo library solely to allow you to attach a cheque photo when creating payout records. These images are used only during the payout creation session to generate the PDF report and are not stored separately on our servers after the PDF has been created.

Electronic Signatures.Payout records require a picker's electronic signature, collected in-app via a touch-based signature field. The signature is used solely to generate the payout PDF report and is not stored separately on our servers after the PDF has been created.

Push Notifications.The App requests permission to send you push notifications for harvest-related alerts. If you grant this permission, we collect a device push token (a unique identifier assigned by your device's operating system) and store it on our servers solely to deliver those notifications. This identifier is never used for advertising, analytics, or shared with third parties. You can revoke notification permission at any time in your device settings.

4. How We Use Your Information

We use the information we collect solely to:

  • Provide and operate the Service
  • Authenticate your account and maintain your session
  • Store and retrieve your farm, harvest, session, picker, and payout data
  • Generate and store PDF reports on your behalf
  • Send important account-related notices (e.g., subscription renewals, policy changes)
  • Diagnose technical issues and improve App stability

We do not use your data for advertising purposes. We do not sell, rent, or trade your personal information to any third party.

5. Data Storage and Third-Party Infrastructure

Your data is stored on servers provided by the following third-party services:

By using the App, you acknowledge and consent to your data being transferred to and stored in the United States. These transfers are made solely for the purpose of operating the Service. We take reasonable steps to ensure your data is handled securely by these providers.

6. Data Retention

  • Active accounts: Your data is retained for as long as your account exists.
  • Expired subscriptions: If your subscription lapses, your data is retained in read-only form. You may continue to view your historical data until you choose to delete your account or we terminate it under our Terms of Service.
  • Deleted accounts: When you delete your account through the in-app deletion flow (Settings > Account > Delete Account), the following occurs:
    • Your account data, harvests, picking sessions, bucket entries, pickers, payouts, and stored PDF reports are deleted immediately upon completion of the flow.
    • If you were a crew member or admin in a group harvest owned by another user, the records you created within that harvest are anonymized (your identity is removed from those entries) rather than deleted, so that the harvest owner's records remain complete.
    • Residual copies in automated backups may persist for a short period before being overwritten, after which no personal data will remain, except where retention is required by applicable law.
    • This process is irreversible once initiated.
  • Picker data: You are responsible for the personal information of pickers you enter into the App. If a picker requests deletion of their information, you are responsible for removing it from your records within the App.

7. Picker Data: Your Responsibilities

When you enter personal information about pickers (e.g., names, payout records), you act as the data controller for that information under PIPA and PIPEDA. This means:

  • You are responsible for obtaining any necessary consent from pickers before entering their information
  • You are responsible for keeping that information accurate and up to date
  • You must handle picker data in compliance with applicable privacy laws
  • If a picker asks to access or delete their information, you are responsible for fulfilling that request within the App

We process picker data on your behalf as a data processor.

8. Data Security

We take reasonable technical and organizational measures to protect your data, including:

  • Encrypted data transmission (HTTPS/TLS)
  • Hashed password storage
  • Access controls limiting who can access production systems

No method of electronic storage or transmission is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

9. Your Privacy Rights

As a resident of British Columbia or Canada, you have the right to:

  • Access the personal information we hold about you
  • Correct any inaccurate or incomplete information
  • Delete your account and associated data
  • Withdraw consent to the processing of your personal information (note: this may prevent you from using the Service)

To exercise any of these rights, contact us at the email address listed in Section 13. We will respond to requests within 30 days, as required under PIPEDA.

10. Children's Privacy

The Service is intended for users aged 16 and older. We do not knowingly collect personal information from individuals under the age of 16. If we become aware that a user is under 16, we will delete their account and associated data promptly.

If you believe a minor under 16 has created an account, please contact us at the address in Section 13.

11. Third-Party Links

The App may contain links to third-party websites or social media profiles, as well as links to our hosted Terms of Service and Privacy Policy. When you follow any such link, you leave the App and that site's own privacy policy applies. We are not responsible for the privacy practices or content of any third-party websites or social media platforms.

We encourage you to review the privacy policies of any external sites you visit.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you via the App or by email at least 14 days before the changes take effect. Your continued use of the App after the effective date constitutes your acceptance of the updated policy.

The “Last updated” date at the top of this page will always reflect the most recent revision.
